Position details:

  • Role: Chief of Staff
  • Type: Full Time (40 hrs/ wk)
  • Location: United States, Fully Remote
  • Hours & Expectations: Monday to Friday, generally available 9am-5pm EST, but flexible schedule

What you’ll do:

We are seeking a proactive, tech-savvy, detail-oriented and versatile Chief of Staff to support our leadership team, streamline operations, and drive strategic projects. The Chief of Staff will play a critical role in ensuring the smooth operation of our company’s day-to-day activities while managing high-impact projects that contribute to our long-term goals. This position is a blend of administrative operations management (50%) and strategic project management and data analysis (50%). You will work closely with the executive team to maintain internal processes, optimize workflows, and ensure alignment between business objectives and operational execution.

Responsibilities:

Administrative Operations Management

  • HR Management: Oversee HR functions including recruitment, onboarding, employee relations, performance reviews, and benefits administration.
  • Bookkeeping & Finance: Manage daily bookkeeping, payroll, financial records, and coordinate with external accountants to ensure accurate financial reporting.
  • IT Management: Oversee IT infrastructure, coordinate with external providers, and manage tech tools and software for seamless operations.
  • Legal & Compliance: Ensure compliance with local, state, and federal regulations. Handle legal documentation, contracts, and manage relationships with legal counsel.
  • Tax & Financial Compliance: Ensure timely tax filings, adherence to tax regulations, and manage internal financial audits.

Project Management & Data Analysis

  • Project Oversight: Take on special projects, acting as a project manager to ensure timely execution and alignment with company goals.
  • Process Design & Improvement: Develop, implement, and refine new business processes, ensuring they are scalable and adaptable as the company grows.
  • Lead Projects from Inception to Completion: Take ownership of critical projects from initial concept through to successful execution, aligning them with startup goals and timelines, often executing all of the work yourself.
  • Cross-Departmental Coordination: Ensure alignment and communication across departments for seamless project delivery and operational consistency.
  • Strategic Prioritization: Collaborate with the executive team to identify key business priorities, define project scopes, set milestones, and manage deliverables, ensuring the team is on track.
  • Startup Scaling: Establish best practices for an evolving startup environment, focusing on scalability, efficiency, and sustainable growth.
  • Data Analysis: Conduct data analysis to generate insights that inform decision-making. Track key metrics and create regular reports for the leadership team.

Required Qualifications and Skills:

  • Skilled in exceling amid the challenges of a start-up environment
  • Bachelor’s degree in Business, Management, Finance, or a related field (Master's preferred).
  • 2+ years of experience in a similar role, with a strong mix of administrative and project management responsibilities.
  • At least 1 year of experience in bookkeeping, Quickbooks, or related
  • Demonstrated experience in project management, data analysis, and process improvement.
  • Excellent communication and organizational skills with a keen attention to detail.
  • Strong analytical skills and the ability to translate data into actionable insights.
  • Proficient in Google Suite and data analysis tools.
  • High level of discretion and professionalism when handling sensitive information.
  • Comfortable in autonomous environment with minimal instruction
